University Sports of Freie Universität Berlin offer approx. 800 individual courses per lecturing season in approx. 100 different types of sport. These courses can be booked by students, employees, and externals. Courses are liable to pay costs and are meant to serve activities in mass sport, preservation of health, sporting competition on a university level, and the social and intercultural exchange between all groups of participants.

In principle, all members of the cooperating universities listed hereafter such as students, trainees, employees, and scientists are eligible to participate in the sports program upon proper registration.

Courses can be booked online only. Registration for the courses chosen can be made via the booking system of University Sports at Freie Universität Berlin. Upon booking, the required data must be entered into the system and the acknowledgement of the general terms and conditions (AGB) of University Sports marked by a hook in the respective field. Stating of a mail address is voluntary, however, it must be pointed out that information at short notice can be given by mail only. The course fee will be debited. Upon booking, this mode of payment will be acknowledged and consent declared with the automatic direct debiting.

University Sports will conduct the processing of personal data only in the extent required for the respective contract and in compliance with the Act on protection against the misuse of personal data in data processing.

Students and employees of the cooperating universities (see General Terms and Conditions), who had properly registered for sports courses, are provided insurance coverage by the Unfallkasse Berlin in case of accidents that might occur within the frame of official courses offered by University Sports. Legal foundation for insurance coverage in this case is the code of social law no. VII. In case of accident, however, the Unfallkasse Berlin must come to a decision on an individual case after careful ascertainment of the facts. Insurance coverage by Unfallkasse Berlin will not be provided for participants in competitive sport events and sport trips. Therefore, University Sports recommend to assume own responsibility for an appropriate insurance. Insurance coverage will not be provided in case of accidents that might occur within the frame of sports courses not implemented under own responsibility of University Sports but merely mediated by University Sports on behalf of other organizers.

No insurance coverage by the legal accident insurance will be provided for any other university members and participants as well as for student participants who failed to properly register. For various types of sport the rental of equipment is possible against payment of a deposit and on condition that a respective course has been booked during the loan period.

The fact that the contingent of material should be exhausted or suitable equipment temporarily not be on hand will be no justification for a course cancellation or a claim for reimbursement. The rental of equipment and payment of a deposit can be done via the office of ZEH only. The maximum loan period for the participant is two semesters.

The participation ticket will be shown as HTML page – Internet page - . This format can be stored, printed, and mailed by any computer and requires no additional software. In case the participation ticket is no longer on hand, please contact the office of University Sports. A new ticket will then be mailed as PDF.

In case of non-redemption of the direct debit procedure by objection, misquoted bank connection, or insufficient funds the name and address of the participant can be used by ZEH to claim damages. By taking part in the electronic direct debit procedure participant further consents that in case of non-redemption this fact will be registered in a lock file. The blockage will be revoked as soon as the fee for the booked event and the banking charges invoiced to ZEH (presently between Euro 5,11 and Euro 10,11) have been paid. These charges will be automatically added to the amount due. The proof of a minor or no damage on the part of ZEH is reserved to you. Further, a service charge in the amount of Euro 5,00 will be billed.

The cost accounting for courses arranged by University Sports is based on a minimum number of participants required for implementation. In case the minimum number falls below but the implementation of the respective course still seems significant regarding organization and subject matter, the number of lessons will be reduced if necessary and appropriate. If not explicitly pointed out otherwise (i.e. for tennis and riding lessons) the total of the course fee is not justification for claiming a specific number of lessons. Guidelines for the number of lessons are outline conditions in force such as lecturing season and holidays (applying to municipal sport sites) etc.

A total or proportional reimbursement of the course fee will be granted when the non-implementation or discontinuation of a course is own decision and responsibility of University Sports (i.e. cancellation of a course due to the insufficient number of participants).

As a basic principle the cancellation of a booked course is not possible. Separate regulations apply to competition events.

Basically a course can be changed. The course change must be applied for in writing and is subject to a final decision to be made by ZEH. In this case more or underpayments will be compensated cashless. A service fee in the amount of Euro 5,00 will be charged for a course change.

Cancellation of a course due to illness / injury can be made only against production of a respective medical certificate. This medical certificate must be received by the office of ZEH within 14 days after the first appearance of the case of illness. At the same time, the cancellation must be declared to ZEH in writing within 14 days after appearance of the case of illness. The date of receipt of the written advice of cancellation and the medical certificate by the office of ZEH will be deciding in this case. At the day of appearance of the illness at least 50% of the lessons of the respective course still must be open. Only under these terms a partial reimbursement can be made by deducting a service fee in the amount of Euro 5,00.

For courses mediated by ZEH on behalf of other organizers the withdrawal clauses in the General Terms and Conditions of the respective organizer will apply. In case of cancellation or withdrawal for any reason (to include illness / injury) the external organizer must be provably notified as well.
